An Hours Log With the Requirement Built In: How the Hours Ledgers Work

An hours log that measures itself against the requirement: how the Clinical, CE, Homeschool and Fieldwork Hours Ledgers log each entry from your phone

An Hours Log With the Requirement Built In: How the Hours Ledgers Work

An hours log is kept for the day someone asks for the total: a licensing board, a license renewal, a school district, a certifying body. The Hours Ledgers are built around that day. Each is a Google Sheet with a phone form. An entry is logged in-the-moment, after the session, the course or the school day, and it travels form to sheet. The sheet adds it up and measures the running total against the requirement the owner is working toward.

There are four, on one engine:

  • Clinical Hours Ledger for post-degree clinicians accruing supervised hours toward licensure.
  • CE Credits Ledger for anyone renewing a license or certification on a continuing education cycle.
  • Homeschool Hours Ledger for families keeping hours and school days for their own records or their state or district.
  • Fieldwork Hours Ledger for BCBA and BCaBA trainees accruing supervised fieldwork under the BACB's 2027 requirements.

One form per ledger

Each ledger has its own form, named for the thing it logs. Log Hours takes the date, the site, the supervisor, direct client hours, indirect hours, individual and group supervision, and whether the session was telehealth. Log Credits takes the course, the provider, the category, the credits and a link to the certificate. Log School Hours takes the subject, the hours and the activity. Log Fieldwork takes the supervisor, the start and end time, whether the supervisor was present, and the minutes observed with a client.

The Clinical and Fieldwork forms ask for no client names or identifying details.

Your Requirements, on the Dashboard

Every Dashboard opens with the running totals and a ladder called Your Requirements. Each row is one rule: a total to reach, a category minimum, a cap, a weekly or monthly limit, a deadline. It shows the target, the owner's figure, a progress bar and a status. There are four status words: Met, On pace, Behind and Check. A pace line above it reads the recent rate forward: "At your last-8-weeks pace … you reach 3,000 hours around May 2028."

The targets come from the owner's own rules. The Clinical Hours Ledger ships rule sets for California (LMFT, LPCC, LCSW) and Texas (LPC, LMFT, LCSW), plus Custom, each checked against official board sources on the date shown. The Fieldwork Hours Ledger ships the BACB 2027 rules for BCBA and for BCaBA, picked on Setup. The CE Credits Ledger and the Homeschool Hours Ledger start blank: the owner types the cycle's or the year's numbers from their own board, state or district. Every target can be edited.

A summary to copy onto the official form

Each ledger has a summary tab that gathers a date range into the totals a form asks for.

The Clinical Hours Ledger's Board Summary is for the board's own experience verification form. It totals practice and supervision hours, splits them by supervisor and by site, and lists them week by week. The owner copies the totals onto the board's form, and the supervisor signs that form.

The CE Credits Ledger's Cycle Summary lists every course in the cycle with its certificate link, and the Dashboard counts any course missing one. A capped category shows the credits over the cap without counting them.

The Homeschool Hours Ledger's Year Summary totals hours by subject and by month. A date with four subjects is still one school day: each date counts once, unless its entries are marked No under School Day.

The Fieldwork Hours Ledger's Monthly Fieldwork tab has one row per month, in the order of the BACB's 2027 Monthly Fieldwork Verification Form, with a Sign By date for each. Its BACB Counts column is the sheet's reading of the BACB's monthly adjustment rules, and a Why column says what changed in a month and why.

The + Reporting edition emails the supervisor

The Clinical Hours Ledger + Reporting adds one menu item: Email this summary to the supervisor. It sends one supervisor's totals, the license rules and the week-by-week rows for a chosen period, with a copy to the owner. The email carries hours only, no client names or details. It is sent only when the owner chooses to send it.

What an Hours Ledger does not do

An Hours Ledger keeps the owner's own record. It does not verify, certify or submit hours or credits, and it is not affiliated with any licensing board, certifying body, school district or the BACB. Requirements change and differ by state, license and profession, so the board, the supervisor, the certifying body or the district decides what counts. BCBA® and BCaBA® are registered trademarks of the Behavior Analyst Certification Board.

Starting with sample entries, then making it your own

Each ledger arrives with months of sample entries, so every panel shows something real. Clear Sample Data, on the custom Ledger & Light menu, removes every sample row and keeps anything already logged for real.

Owned, not rented

An Hours Ledger is a Google Sheet bought once and kept. It lives in the owner's own Google Drive, with no subscription to renew, so the record stays in one file for as long as the requirement runs.

Common questions

What is an Hours Ledger?

An Hours Ledger is a Google Sheet with a phone form for logging hours or credits toward a requirement. Each entry travels form to sheet, and the Dashboard measures the running total against the owner's targets.

Does the Clinical Hours Ledger verify or submit supervised hours?

No. It keeps the owner's own record and totals it for the board's verification form. It does not verify, certify or submit hours, and the board and the supervisor decide what counts.

Which licensing rules does the Clinical Hours Ledger include?

It ships rule sets for California LMFT, LPCC and LCSW and Texas LPC, LMFT and LCSW, plus Custom. Each was checked against official board sources on the date shown, and every target can be edited.

How does the Homeschool Hours Ledger count school days?

Each date counts as one school day, however many subjects were logged that day, unless its entries are marked No under School Day. Hours are totaled by subject and by month on the Year Summary.

Does the Fieldwork Hours Ledger follow the 2027 BACB requirements?

Yes. It ships the BACB 2027 fieldwork rules for BCBA and BCaBA, and its Monthly Fieldwork tab follows the order of the 2027 Monthly Fieldwork Verification Form. BACB Counts is the sheet's reading of the monthly rules, not the BACB's own figure.
